1. Who is responsible

Gridhouse LLC, 1309 Coffeen Avenue STE 1200, Sheridan, Wyoming 82801, is responsible for the personal information described here. Contact us at privacy@gridhousellc.com.

2. What we collect

When you visit the public site

The public site has no forms, no public accounts, no advertising and no analytics or tracking cookies. To deliver pages and protect the site, our hosting provider processes standard request data: your IP address, browser and device type, the page requested, the referring page and the time. Fonts are loaded from Google Fonts, so your browser also sends a request with your IP address to Google.

When you email us

We receive your email address, name if you include it, the content of your message and any attachments, plus normal email headers.

When a team member uses the portal

For people with portal access we keep account details (name, work email, role), sign-in records (time, IP address, browser), security events, and the documents, messages and records created in the portal.

3. How we use it

  • to deliver the site and keep it secure, including blocking abuse and attacks;
  • to answer your messages and keep a record of the conversation;
  • to run the portal, sign people in and protect accounts;
  • to meet legal duties, such as tax records and responding to lawful requests;
  • to defend our legal rights.

We do not use this information for advertising, and we do not make automated decisions about you that have legal or similar effects.

4. Legal bases

Where laws such as the GDPR or UK GDPR apply, we rely on our legitimate interests in running and securing the site and answering mail, on contract for portal users, and on legal obligation where the law requires us to keep or share information.

5. Who processes it for us

We use a small number of service providers who handle data only on our instructions:

ProviderWhat they doData involved
Cloudflare, Inc.Hosting, network security, DNS and email routingRequest data, email in transit, portal data
Google LLCWeb fonts; email for some team mailboxesIP address and browser for fonts; email content
Brevo (Sendinblue SAS)Sending email from the portal, such as sign-in codesRecipient address and message

We may also disclose information when the law requires it, to protect people from harm, or as part of a sale or reorganization of the company, in which case this notice would continue to apply to it. See how we handle government requests.

6. No selling or ad tracking

We do not sell personal information and we do not share it for cross-context behavioral advertising. We honor Global Privacy Control signals, although this site has nothing to opt out of.

7. How long we keep it

  • Request and security logs: kept for short periods by our hosting provider, generally no more than 30 days unless needed to investigate abuse.
  • Email: kept while it is useful for the conversation and our records, and deleted when no longer needed, normally within three years.
  • Portal accounts: kept while access is active and for up to one year after it ends, longer where a record must be kept by law.

8. Security

We use encryption in transit (HTTPS with HSTS), signed sessions, sign-in codes, access limited to people who need it, and logging of security events. No system is perfectly secure; if we learn of a breach affecting your information we will tell you as the law requires.

9. Your rights

Depending on where you live, you can ask us to tell you what we hold about you, give you a copy, correct it, delete it, limit or object to how we use it, or move it to someone else. Email privacy@gridhousellc.com. We will confirm the request is yours before acting and reply within the time the law allows, normally 30 to 45 days. We will not treat you differently for using these rights. If you are in the EU or UK you may also complain to your local data protection authority.

For data held by one of our products, write to that product's support contact or to us; we will route it.

10. US state privacy rights

Residents of California, Colorado, Connecticut, Virginia, Texas, Oregon and other states with privacy laws have the rights above where those laws apply. In the last twelve months we collected the categories described in section 2 (identifiers, internet activity and, for portal users, professional information) for the purposes in section 3. We did not sell or share them for advertising, and we do not use sensitive personal information to infer characteristics. You may use an authorized agent, and you may appeal a decision by replying to our response.

11. Children

This site is meant for adults and businesses and is not directed to children under 13. We do not knowingly collect information from children here. Products that may be used by teens set their own age rules in their own policies.

12. International transfers

We are based in the United States and our providers may process data in the US and other countries. Where required, we rely on safeguards such as standard contractual clauses offered by those providers.

13. Changes

We will update this notice when our practices change and show the new date at the top. Significant changes will be made clear on this page.
